Procedural Flow
When a shipment of flax yarn is found to exceed the allowable moisture limit, the buyer’s quality department generates a formal discrepancy report. This report is accompanied by a debit note detailing the cost of the excess water weight. The spinning mill reviews the laboratory data, accepts the claim, and issues a credit note to cover the difference.
The accounting team must then match this credit note against the original invoice before authorizing the final payment. This reconciliation prevents payment errors and keeps the supplier accounts accurate. It also maintains a transparent record of supplier performance over time.
